About This Position
The Systems Analyst is responsible for ensuring the daily administrative operations and internal systems of RCM Restoration Services run accurately, consistently, and in full compliance with company processes.
This role is not just administrative. It is a systems enforcement and accountability position. The ideal candidate has experience working with operational systems and understands how to build, monitor, enforce, and audit processes across multiple employees and departments.
This individual will act as a gatekeeper of process, ensuring every employee follows RCM’s internal systems step-by-step, every time, with no shortcuts.
Core Responsibilities
Administrative Operations
Answer and route incoming phone calls professionally and promptly
- Schedule all production staff for jobs (water, fire, mold, contents, board-up)
- Coordinate job assignments, calendar updates, and daily workflow
- Support management with administrative reporting and documentation
- Ensure job files are opened, updated, and closed properly in all systems
Systems Management & Oversight (Primary Focus)
- Maintain and manage all internal operating systems used by RCM and 1-800-Boardup
- Job management systems (Encircle / MICA or future platforms)
- Internal tracking tools, checklists, and workflows
- Ensure every employee follows required system steps for:
- Job intake
- Scheduling
- Production documentation
- Photos, notes, uploads, and time tracking
- Job completion and close-out
- Enforce checks and balances at every stage of each system
- Verify that each process is followed:
- By each department
- By each role
- By each individual employee
Process Compliance & Accountability
- Monitor employee compliance with internal systems daily
- Identify missing steps, skipped documentation, or process failures
- Flag non-compliance issues and report them to management
- Track repeat issues by employee and department
- Assist leadership in tightening systems to eliminate breakdowns
- Ensure consistency across RCM Restoration Services and 1-800-Boardup
Authority & Expectations
- This role has the authority to enforce process compliance
- Employees are expected to follow system requirements as directed
- Accuracy, consistency, and accountability are non-negotiable
- The goal is system discipline, not just task completion
Required Experience & Skills
- Proven experience in administrative operations and systems management
- Experience working with structured workflows and operational processes
- Strong understanding of compliance, checks & balances, and accountability
- Ability to audit systems and identify gaps or failures
- Strong organizational and communication skills
- Comfortable holding others accountable to documented processes
- Experience in restoration, construction, or service-based operations preferred
- Experience with job management platforms (Encircle, MICA, DASH, similar systems) preferred

Success in this role will be measured by:
- Reduction in system errors and missing documentation
- Consistent employee compliance with internal processes
- Improved job flow, scheduling accuracy, and documentation quality
- Fewer operational breakdowns due to missed system steps
- Clear reporting on compliance and system performance
