About This Position
The Temporary Administrative Assistant provides administrative and front-desk support during a maternity leave coverage period. This role supports the President and leadership team with day-to-day administrative tasks and serves as a first point of contact for visitors, callers, and employees. Responsibilities will scale based on the individual’s skill set and how quickly they are able to learn internal systems and processes. Flexibility, professionalism, and a service-oriented mindset are essential.
Work Schedule Expectations
- Pre-Leave Training: Part-time for approximately 2–3 weeks prior to the start of maternity leave, working alongside the incumbent for hands-on training and knowledge transfer.
- Leave Coverage Period: Preference for full-time (40) hours while the incumbent is on leave (mid/late May through August).
- Post-Return Support: Part-time for approximately 1–2 months following the incumbent’s return, to support transition and continuity.
Essential Functions, Duties, and Responsibilities
Front Desk & Office Support
- Answer and route incoming phone calls with professionalism.
- Greet, sign in/out, and direct visitors, interviewees, vendors, and delivery drivers.
- Assist employees with general questions or direct them to the appropriate department.
- Receive and distribute mail and packages.
Executive & Administrative Support
- Monitor the President’s email inbox for priority messages, flagging or routing items as appropriate.
- Monitor and maintain the President’s calendar, including scheduling meetings and avoiding conflicts.
- Coordinate meetings, including room setup, Teams links, materials, and basic logistics.
- Upload meeting materials and attachments to digital tools as needed.
- Track and assist with task lists and follow-ups as requested.
- Prepare and submit expense reports.
Meetings, Events, and Projects
- Take meeting minutes as assigned, including leadership team meetings.
- Assist with preparation for internal meetings, orientations, and company events (e.g., employee meetings, new hire orientations).
- Support basic travel arrangements for executives and leadership team members, as needed.
- Assist with presentations, document formatting, scanning projects, and general administrative projects.
Collaboration & Communication
- Serve as a professional point of contact between leadership, employees, and external partners.
- Build positive working relationships across departments.
- Handle sensitive and confidential information with discretion at all times.

- Perform other administrative duties as assigned.
Required / Preferred Qualifications
- Prior experience in an administrative assistant, office assistant, or receptionist role preferred.
- Strong organizational skills and attention to detail.
- Excellent customer service and phone etiquette.
- Professional verbal and written communication skills.
- Ability to multitask, prioritize work, and adapt in a fast-paced environment.
- High level of discretion and confidentiality.
- Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint) and general office technology.
- Friendly, approachable, and dependable with a consistent attendance record.
Physical Demands and Work Environment
While performing the duties of this administrative position, the employee is regularly required to sit, talk, see, and hear. The employee may occasionally need to stand, walk, stoop, kneel, or reach with hands and arms. The employee may occasionally lift and/or move up to 20 pounds. The work environment is typically an office setting with low to moderate noise levels.
