Job Description: Special Events Coordinator

Responsible for planning and executing 3 major fundraising events to support Spectrum360’s mission, showcasing our work, community, and philanthropic needs. This position plays a key role in helping the organization meet its annual fundraising goals through successful event management and community engagement. The incumbent will also support the whole development team and actively participate in implementing the Fundraising and Development Strategic Plan under the direction of the Director of Development.

Qualifications

  • Bachelor’s Degree or equivalent training

  • 2-3 years of fundraising experience

  • A proven track record of achieving fundraising goals of varying amounts with

  • sponsorships, and individual contributions.

  • Mission-aligned Interest in children and adults on the autism spectrum and with related disabilities and their integration into the community

  • Ability to articulate mission, vision, and goals verbally and in writing and to provide donors and prospects accurate information, prompt service, and personal attention

  • Excellent interpersonal and social skills, compassion, and caring

  • Demonstrated excellent organizational skills with the ability to provide accurate information, assistance, and direction quickly

  • Excellent time management skills

  • Highly motivated, self-starter with a passion to succeed

  • A high degree of flexibility

  • Ability and comfort managing multiple tasks efficiently and effectively

  • Attention to follow-up, follow-through, and move the work forward

  • Excellent oral and written communication skills

  • Strong computer skills: Google Suite, Excel, Word, PowerPoint

  • Knowledge of DonorPerfect (or other CRM software) and working knowledge of eRevenue software is a plus

Position Responsibilities:

  1. Event Planning and Execution:
    Plan, organize, and manage fundraising events from concept to completion, ensuring they meet fundraising goals and reflect the mission of Spectrum360.

  2. Logistics Management:
    Coordinate all event logistics, including venue selection, vendor management, catering, entertainment, and audiovisual needs.

  3. Sponsorship and Donor Relations:
    Develop prospect lists for each event, solicit sponsorships, in-kind donations, and partnerships with local businesses to support events and maximize revenue.

  4. Marketing and Promotion:
    Collaborate with the marketing team to promote events through social media, email campaigns, and community outreach, ensuring strong attendance and engagement.

  5. Volunteer Coordination:
    Recruit, train, and manage volunteers for events, delegating responsibilities and supporting volunteers to ensure smooth event execution.

  6. Budget Management:
    Develop, track and monitor event budgets, tracking expenses and revenue to ensure financial targets are met. Prepare regular management reports.

  7. Donor Stewardship and Acknowledgment:
    Assist in acknowledging event sponsors and donors, ensuring timely thank-you notes, follow-ups, and post-event communications.

  8. Post-Event Evaluation:
    Conduct post-event evaluations to analyze event success, gather feedback, and identify areas for improvement for future events.

  9. Administrative Support:
    Responsible for managing administrative tasks, including maintaining records, processing donations, and preparing reports on event performance.

  10. Collaboration with the Development Team:
    Work closely with the Director of Development and other team members to align events with broader fundraising strategies and goals.

Policies, Procedures, Evaluations

  • Comply with all policies and procedures of Spectrum360.

  • Reports to the Director of Development.

Travel

  • Primary office in West Orange with regular travel to/from Livingston/Verona/Whippany

  • Limited travel to off-site meetings with donors, volunteers, and around Northern NJ

  • Must have reliable transportation.
