Position Overview:
GondolaBio is seeking a detail-oriented and proactive Recruitment Coordinator to join our Talent Acquisition team on a part-time basis. In this role, you will serve as a critical partner to recruiters and hiring managers, ensuring a seamless and positive experience for every candidate throughout the interview process. You will be responsible for coordinating both remote and on-site interviews, managing logistics for domestic and international candidates, and maintaining data integrity within our Applicant Tracking System.
Responsibilities
- Schedule and coordinate remote video interviews and on-site interviews, ensuring a smooth and professional experience for all candidates
- Be present on-site during candidate interview days to oversee logistics, greet candidates, and ensure the day runs seamlessly from start to finish
- Serve as the primary point of contact for candidates during the interview process, acting as a hospitality-focused ambassador for the GondolaBio brand
- Manage all logistics for on-site candidate visits, including creating detailed interview schedules, securing conference rooms, and arranging domestic and international travel
- Collect and track candidate NDAs prior to on-site visits
- Partner closely with recruiters and hiring managers to move candidates efficiently through each stage of the interview process, including interview scheduling, feedback collection, and reference coordination
- Utilize our Applicant Tracking System (ATS) to document and log all candidate activity, including updating job postings, uploading resumes, advancing interview stages, adding notes, and requesting feedback to maintain data integrity
- Proactively communicate scheduling updates and logistics details to all interview participants
- Identify and implement process improvements to enhance the candidate experience and team efficiency
Qualifications
- 1–3 years of experience in a recruiting coordination, administrative, or executive support role; experience in a biotech or life sciences environment a plus
- Proficiency with an ATS strongly preferred
- Experience coordinating complex interview schedules across multiple time zones, including international candidates
- Exceptionally detail-oriented and thorough — someone who catches what others miss and takes ownership of every logistical detail
- Thrives in a fast-paced environment and can manage shifting priorities without losing accuracy or composure
- Excellent written and verbal communication skills with a candidate-first mindset
- Ability to manage multiple priorities simultaneously across a dynamic, ever-evolving organization
- Comfortable working both independently in a remote setting and on-site when candidate visits require your presence
- Familiarity with video conferencing platforms (Zoom, Teams)

The base pay range for this position is $36 to $38 per hour. The actual compensation offered will be determined based on a number of job-related factors, including experience, skills, qualifications, and location
