Primary Responsibilities
- Serve as the first point of contact for clients, families, and providers in person and via telephone.
- Coordinate daily front desk operations to ensure efficient client flow and provider schedule optimization.
- Schedule initial assessments, follow-up appointments, and group services in alignment with with active authorizations.
- Partner with external authorization team to obtain, track, and renew service and insurance authorizations to prevent gaps in care
- Communicate directly with insurance representatives to resolve authorization and eligibility issues.
- Maintain accurate and compliant client records within EMR systems.
- Verify insurance coverage and assist clients with required documentation and intake forms.
- Manage appointment confirmations, cancellations, and rescheduling to reduce gaps in provider schedules.
- Support billing and administrative teams with documentation needed for claims processing and audits.
- Maintain confidentiality and compliance with HIPAA and organizational standards.
- Collaborate with clinical, billing, and leadership teams to ensure coordinated service delivery.
- Maintain a professional, organized, and welcoming reception area.
- Assist with administrative projects, reporting tasks, and internal process improvements as assigned.
Education & Experience
- Minimum of 3 years of healthcare or behavioral health administrative experience
- Associate degree or relevant certification preferred
- Experience working in front desk or client-facing healthcare settings
- Demonstrated knowledge of insurance authorization processes and scheduling systems
- Experience using EMR systems and digital documentation platforms
- Proficiency with Google Workspace and Microsoft Office applications
- Familiarity with Paylocity or similar HRIS systems preferred
- Exceptional organizational and multitasking abilities
- Strong written and verbal communication skills
- Reliable attendance and strong accountability
