Position Statement:
Under the direction of the Radiologist and Director of Diagnostic Imaging, the diagnostic imaging office supervisor provides support and education to the imaging department staff surrounding order entry; insurance and prior authorization requirements; adding or removing scheduling blocks for various modalities and providers; participates in hiring and training of new patient coordinators; and oversees the ordering of office supplies while maintaining an awareness of expenses related to the department budget. The office supervisor is also a liaison with various department staff, hospital departments, and physicians' offices to assist in patient care to ensure updated modality preparation information is available and accurate for ordering imaging studies, and the requirements that may be necessary to obtain a smooth imaging experience for the patient. The office supervisor provides exemplary interaction with patients, coworkers, and the public.
Key Responsibilities:
- Maintains staff schedule and coordinates Radiologist schedule and availability in Radiology information system (RIS)
- Continuously reviews, updates, and creates new department policies, procedures, and competencies, while utilizing Lean processes. Keeps department Elsevier requirements up to date for D.I. staff.
- Actively participates in department quality assurance and QC monitoring as part of the Radiology leadership team
- Assists PACs Admin to ensure new providers are set up to receive faxed results properly and observes failed fax application. Resolves any failed reports to ensure proper receipt of results
- Participates in patient recovery when necessary to improve the patients overall experience
- Oversees the reconciliation of Nucleus Image tracking to ensure all outside electronic shared imaging is properly added to our image library
- Performs data entry for pathology tracking in RIS to ensure recommended biopsies are performed. Contacts providers offices if recommended follow up has not been performed to ensure patient recommendation is not missed
- Performs ADP timekeeping management
- Attends educational and regulatory compliance seminars required sessions to stay current with changing regulations.
- Conducts annual staff evaluation and new employee review. Participates in process improvement plans as needed
- Oversees supply needs for WB Mason and internal Office supplies
Knowledge, Skills and Abilities:
- Associate’s Degree preferred
- 2 to 4 years supervisory experience in a medical office
- Medical Terminology required
- Strong organizational and filing skills
- Excellent customer service and public relation communication skills
- Computer competence required, knowledge of Outlook, Word, Excel, Power Point
- Familiar with the LEAN process
- Ability to follow NCH’s standards of behavior
