About the Role:
The Intake Coordinator plays a critical role in the healthcare and social assistance sector by serving as the primary point of contact for new clients seeking services. This position is responsible for managing the intake process efficiently, ensuring that all necessary information is accurately collected and documented to facilitate timely and appropriate care. The Intake Coordinator collaborates closely with clinical teams, administrative staff, and external agencies to coordinate appointments, verify eligibility, and address client inquiries. By maintaining organized records and following up on pending cases, the coordinator helps streamline service delivery and enhances the overall client experience. Minimum Qualifications:
- High school diploma or equivalent required; Associate’s degree or higher in healthcare administration, social work, or related field preferred.
- Minimum of 1-2 years experience in a healthcare or social services setting, preferably in an intake or administrative role.
- Proficiency with electronic health records (EHR) systems and standard office software (e.g., Microsoft Office Suite).
- Strong understanding of HIPAA regulations and client confidentiality requirements.
- Excellent communication and interpersonal skills to interact effectively with diverse populations.
Preferred Qualifications:
- Experience working with insurance verification and authorization processes.
- Familiarity with community resources and social service programs.
- Bilingual abilities, particularly in Spanish or other commonly spoken languages in the United States.
Responsibilities:
- Conduct initial client screenings and gather comprehensive intake information including personal, medical, and insurance details.
- Schedule and coordinate appointments between clients and healthcare or social service providers.
- Verify client eligibility and insurance coverage to facilitate service authorization and billing processes.
- Maintain accurate and confidential client records in compliance with HIPAA and organizational policies.
- Communicate effectively with clients, families, and multidisciplinary teams to resolve intake-related issues and provide updates.
- Assist in the development and implementation of intake procedures to improve efficiency and client satisfaction.
- Follow up on incomplete or pending intake documentation to ensure timely processing.
- Provide support and guidance to clients navigating the intake process, addressing questions and concerns with professionalism and empathy.
